Overview

We are seeking a highly organized and detail-oriented Facilities Coordinator to manage logistics across multiple operational areas, including facility care, fleet administration, and warehouse coverage. Reporting to the Business Operations Specialist, this role plays a vital part in ensuring the smooth functioning of day-to-day operations by coordinating facility maintenance, overseeing fleet administration, and ensuring warehouse efficiency. The ideal candidate will manage facility upkeep, administer fleet vehicles, and maintain an organized and well-functioning warehouse.

You will be responsible for maintaining accurate inventory records, conducting audits, and providing insightful reports to leadership. Your role also includes enforcing safety protocols, ensuring vehicles are maintained and ready for use, and supporting various warehouse activities such as shipping, receiving, and inventory management. Key Responsibilities: Facility Care: Oversee facility maintenance, manage service schedules, coordinate repairs, and ensure compliance with safety regulations, including fire and safety protocols.

Fleet Administration: Track, schedule, and maintain fleet vehicles. Ensure all vehicles meet safety standards and are regularly serviced. Maintain records of vehicle use and coordinate with teams to ensure efficient fleet management.

Warehouse Coverage: Oversee warehouse operations, including inventory management, shipping, receiving, and stock level optimization. Conduct regular physical inventory counts and input data into software systems. Collaborate with the operations team to resolve discrepancies in stock levels and maintain accurate records of materials.

Report on key performance indicators (KPIs) related to facility, fleet, and warehouse performance, providing recommendations for improvement where necessary. Enforce safety protocols across facilities and within the warehouse environment, ensuring compliance with all relevant regulations. Operate forklifts and other warehouse equipment as needed for material handling.

Perform other logistical duties as assigned to ensure smooth operations across all areas. Must Demonstrate Proficiency in: Providing accurate daily timesheets, including job numbers and locations. Maintaining facility, fleet, and warehouse inventory records, along with asset management.

Reporting any accidents, incidents, or injuries in accordance with safety protocols. Qualifications: 3 years of experience in logistics, facility management, fleet administration, and warehouse operations. Experience in inventory management and material handling is preferred.

Proficiency in Office 365 applications (Word, Excel, Teams). Strong communication, interpersonal, and organizational skills. Excellent decision-making and problem-solving abilities.

Competence in tracking and reporting on performance metrics. Ability to lift or move heavy products (up to 50 lbs.). Proficiency in English for reading, writing, and reporting.

Requirements: Willingness to work overtime as required by construction/service schedules. On-call availability to handle facility, fleet, and warehouse emergencies. Willingness to travel up to 25%.

Frequent lifting of up to 50 lbs. Clean driving record and a current US drivers license. Compensation & Benefits: Hourly rate: Competitive pay ranging from $24 to $30, based on experience and qualifications.
